Fabrication Shop Coordinator

About the Role

We are seeking a highly organized and hands-on Fabrication Shop Coordinator to support daily operations within a busy fabrication shop. The Fabrication Shop Coordinator is a key operational role responsible for coordinating shop workflow, materials, inventory, documentation, and reporting to ensure fabrication projects run efficiently and accurately.

This Fabrication Shop Coordinator role serves as the central support function between fabrication, project management, and operations.

Fabrication Shop Coordinator – Key Responsibilities

Work Order & Shop Coordination

• Manage fabrication work orders within HireTrack, including status updates such as Active Prep, In Progress, and Completed

• Create and process quick work orders to support fabrication workflow

• Coordinate work order change orders and ensure accurate documentation

• Run, review, and distribute regular fabrication work order reports

• Gather missing or incomplete information from Project Managers and Technical Directors to ensure fabrication readiness

Shipping & Receiving

• Coordinate shipping and receiving of fabrication materials and samples

• Receive inventory deliveries and enter materials into HireTrack

• Create and maintain new material records

• Track incoming and outgoing materials to maintain inventory accuracy

Inventory Management

• Maintain minimum and maximum inventory levels for fabrication materials

• Manage Fastenal inventory, including restocking and usage tracking

• Order CNC tools, shop supplies, mats, and consumables

• Coordinate ordering of paint, stains, primers, and finishes, including vendor coordination when needed

Purchasing & Budget Support

• Prepare purchase requests for fabrication materials including metal, wood, LEDs, power supplies, and related components

• Ensure purchase requests include proper budget documentation

• Support material cost tracking with operations and fabrication leadership

Time Tracking & Labor Support

• Manage T-Sheets for fabrication staff and freelance labor

• Run time tracking reports to ensure correct job coding

• Flag discrepancies or inconsistencies for leadership review

Estimating & Reporting Support

• Support estimating efforts as a Junior Estimator on smaller fabrication projects

• Assist with R&D pricing and fabrication cost analysis

• Compile reports that support fabrication planning, cost tracking, and operational decisions

Fabrication Shop Coordinator – Qualifications

• Experience in fabrication shop operations, production coordination, or operations support preferred

• Familiarity with inventory systems, work order management, or ERP tools (HireTrack experience a plus)

• Strong organizational skills with excellent attention to detail

• Ability to manage multiple priorities in a fast-paced shop environment

• Basic understanding of fabrication materials, tools, and shop processes preferred

• Clear communication skills and ability to work cross-functionally with multiple teams
